What GoHighLevel AI Employees actually is
GoHighLevel AI Employees is not a replacement for your existing automations. It is an additional layer that can handle conversations that require more flexibility than a fixed workflow can manage. A workflow sends the same message to everyone. The AI responds differently based on what the contact actually says.
There are two components. AI Conversation handles inbound messages across SMS, Facebook Messenger and Instagram DMs. AI Voice handles inbound phone calls. Both are designed to handle the initial contact, gather information, answer common questions and book appointments, then hand off to a human when the conversation requires it.
Think of AI Employees as a very capable first-touch agent that handles the repetitive qualification conversations that currently either go unanswered or require human time. A homeowner texting "do you do roof repairs?" at 11pm gets an immediate intelligent response from the AI. The same homeowner calling at 11pm gets the AI voice answering, qualifying them and offering to schedule a callback for the morning.
AI Conversation: handling inbound messages
AI Conversation monitors your GHL unified inbox for new inbound messages. When a contact sends a message through any connected channel, the AI responds based on the instructions and knowledge base you have configured for it.
You train the AI by providing it with information about your business: what services you offer, your service area, your pricing range, your hours and any frequently asked questions your team regularly answers. The AI uses this information to respond to inbound questions naturally, without you having to pre-write every possible response in a workflow.
The AI can also be configured to ask qualification questions and route contacts to different outcomes based on their answers. A contact who says they need emergency service can be routed to an urgent callback workflow. A contact asking for a quote can be offered a booking link. A contact outside your service area can be politely told so without wasting your team's time.
When the AI encounters a question it cannot answer or a conversation that has become complex enough to require a human, it can be configured to send an internal alert to your team and pause its own responses. This handoff mechanism is critical for avoiding the frustration that comes from AI systems that keep responding when a human is clearly needed.
AI Voice: handling inbound calls
AI Voice answers inbound calls to your GHL phone number with a natural-sounding AI voice. The AI introduces itself as part of your team (you can give it a name), handles common questions and can book appointments directly into your GHL calendar.
For service businesses, AI Voice is particularly useful for after-hours call handling. A plumber who cannot take calls after 7pm but does not want to miss emergency enquiries can configure the AI to answer after-hours calls, qualify whether it is a genuine emergency and offer to book a callback for first thing the next morning or connect the caller to an emergency line.
AI Voice records every call and creates a transcript that appears in the contact's conversation history in GHL. Your team can review these transcripts to understand what callers asked about and follow up accordingly. The AI also extracts key information from the call, such as what the caller said they needed, and adds it as a contact note automatically.
Setting up AI Employees
In GoHighLevel, go to Settings, then AI Employees. You will see the configuration options for both AI Conversation and AI Voice. The setup process involves three main steps.
First, build your knowledge base. Add information about your business that the AI will use to answer questions. Include your services, service area, pricing range, team members, hours and your most frequently asked questions with the answers your team typically gives. The more complete and accurate this information, the better the AI performs.
Second, configure the conversation flow. Decide which channels the AI should monitor, what its opening message should be, what questions it should ask to qualify leads and what it should do with different types of responses. Most businesses configure at least two paths: one for people who want to book or get a quote and one for everything else.
Third, set up the human handoff. Configure what happens when the AI cannot handle a conversation: an internal notification to a specific team member, a message to the contact letting them know a human will be in touch shortly and a pause on AI responses for that conversation. Test this handoff thoroughly before going live.
Best use cases for AI Employees
After-hours first response: The highest-value use case for most service businesses. Leads that arrive after hours get an immediate, intelligent response rather than voicemail. The AI qualifies them, answers common questions and either books a callback or provides the information they need. By morning your team has a list of qualified after-hours leads rather than a pile of missed calls.
High-volume initial enquiries: Businesses that receive more inbound messages than their team can respond to quickly benefit from AI handling the first touch. The AI ensures every inbound contact gets a response within seconds while your team focuses on the conversations that require human expertise.
FAQ handling: Questions about pricing, service area, availability and basic process information take significant team time when handled manually. The AI handles these consistently and accurately 24/7.
Initial appointment booking: The AI can book appointments directly into your GHL calendar for standard services where no custom assessment is needed. A cleaning company, a pest control service or a basic consultation can often be booked entirely through the AI conversation without human involvement.
Honest limitations to understand
AI Employees is genuinely useful but not magic. A few honest limitations to understand before deploying it.
The AI handles structured conversations well but struggles with genuinely complex or emotional conversations. A homeowner dealing with flood damage who is stressed and asking overlapping questions is better served by a human. The AI should be configured to recognise these situations and hand off quickly.
The quality of the AI's responses depends entirely on the quality of your knowledge base. If you have not given it accurate information about your services and pricing, it will give inaccurate responses. Maintaining the knowledge base requires periodic updates when your services, pricing or policies change.
The AI is not yet at a level where customers cannot tell they are speaking to an AI if they ask directly. Some customers are comfortable with AI. Others are not. Your configuration should be transparent about what the AI is and make it easy to reach a human when requested.
AI Employees pricing
AI Employees is usage-based, meaning costs depend on the volume of conversations and calls handled. Check your GHL account under Settings, then AI Employees for current per-conversation and per-minute pricing as this changes periodically as GHL updates the feature. Most small businesses with moderate call and message volume find the AI Employees cost well within the range where it pays for itself through time saved on after-hours enquiry handling alone.
