Why online booking increases appointments

Most people search for services outside of business hours. A homeowner who decides they need an HVAC tune-up at 9pm on Sunday is not going to call a contractor. They will either search again Monday morning, when they may or may not follow through, or book directly if they find a business with an available calendar.

Online booking converts at higher rates than phone contact for a simple reason: it removes the friction of a phone call. A potential customer who can pick a time and confirm in 90 seconds is more likely to book than one who has to call during business hours, wait on hold or leave a voicemail and wait for a callback.

Step 1: Set up your GHL calendar

If you do not already have a GHL calendar configured, go to Calendars in the left sidebar and click Add Calendar. Choose Round Robin for a team calendar or Event Calendar for a single-person booking page.

Set your name and description so the booking page is clear about what someone is booking. Set your availability hours to match when you can actually take appointments. Add buffer time between appointments if you need travel or preparation time between bookings.

Under Calendar Settings, then Integrations, connect your Google or Outlook calendar. This is the most important step to prevent double-booking. GHL will check your personal calendar for existing events before showing any time slot as available.

Set the meeting duration to match your typical appointment length. If you offer multiple appointment types of different lengths, create a separate calendar for each. A 30-minute consultation and a 2-hour site visit should be separate calendars with separate booking pages.

Step 2: Configure the booking page

In your calendar settings, find the Booking Widget tab. This controls what the booking page looks like and how it behaves. Set your timezone so availability displays correctly for contacts in your time zone. If you serve clients across time zones, enable the "Show time in contact's local timezone" option.

Set how far in advance someone can book. A minimum scheduling notice prevents same-hour bookings that you cannot prepare for. A maximum booking window prevents someone booking 6 months in advance when you cannot reliably plan that far out. Most service businesses use a 24-hour minimum and 60-day maximum.

Enable the confirmation email setting so every new booking sends a confirmation to both you and the contact. This is separate from your automated SMS workflow and serves as a paper trail.

Step 3: Customise the form fields

The booking form collects information from the person scheduling. By default it collects name, email and phone. You can add custom fields to collect additional information you need before the appointment.

Useful additions: a text field asking what the appointment is about, a dropdown for service type if you offer multiple services, a text field for address if you do on-site visits. Keep the form short. Every additional required field reduces booking completion rates. Ask only what you genuinely need before the appointment.

The information collected on the booking form automatically creates or updates the contact record in GHL and populates the fields into the contact's conversation history. When the appointment reminder fires 24 hours before, GHL uses the contact's first name token to personalise the message automatically.

Step 4: Embed on your website

In your calendar settings, find the Embed Code tab. GHL provides an iframe code snippet that you can paste into any webpage. On most website builders (WordPress, Wix, Squarespace, Webflow), add an HTML or Embed block and paste the code.

Place the booking widget on your homepage, your services page and your contact page. The more places it appears, the higher the chance a visitor finds and uses it. Add a prominent call to action button above the widget: "Book a free consultation" or "Schedule a site visit."

If you use a website builder that does not support custom HTML embedding, use the hosted booking page URL instead. GHL provides a direct URL for every calendar that you can link to as a button on your website without embedding code.

Step 5: Build your booking funnel page

For higher-value appointments or when you want more control over the booking experience, build a dedicated funnel page in GHL rather than embedding on your existing website. Go to Sites, then Funnels, then New Funnel. Build a simple two-page funnel: a landing page that explains the appointment and what to expect, and a booking page with the calendar widget embedded.

The landing page gives you space to address objections, explain the value of the appointment and build trust before the visitor commits to booking. A contractor landing page might explain what happens during a free estimate visit, how long it takes and what the homeowner will receive. A coach landing page might explain what the discovery call covers and who it is designed for.

This funnel approach also lets you run paid ads directly to the booking page rather than your homepage, with a clear single conversion goal and full control over what the visitor sees before they book.

Step 6: Connect confirmation and reminder automations

With the calendar and booking page configured, connect the automations that fire on each booking. If you have already built the appointment reminder workflow from our appointment reminders guide, confirm that the trigger is set to your correct calendar. If you have multiple calendars, each needs its own reminder workflow or a workflow with calendar-specific filters.

Confirm the workflow fires on the Appointment Booked trigger and that the actions include the immediate confirmation SMS, the 24-hour reminder and the 2-hour reminder. If the no-show follow-up workflow is also built, confirm it triggers on Appointment Status Changed to No Show.

Step 7: Test the full flow

Book a test appointment using your personal phone number and email. Go through the full booking page as a customer would. Confirm the booking page shows the correct availability and the form fields collect the right information.

After submitting, check: the contact was created in GHL with the correct fields populated, the confirmation SMS arrived on your phone within seconds and the confirmation email arrived in your inbox. Check GHL's workflow history to confirm the reminder sequence is queued at the correct times.

Move the test appointment to No Show status in your calendar. Confirm the no-show follow-up SMS arrives approximately 3 hours later.
