What GHL email marketing includes

GoHighLevel's email marketing covers three distinct use cases that most businesses need. Broadcast campaigns are one-time emails sent to a segment of your contact list, used for newsletters, promotions, announcements and re-engagement campaigns. Automated sequences are pre-written series of emails triggered by a contact action, used for welcome sequences, lead nurture, post-purchase follow-up and review requests. Workflow-triggered emails are single emails sent as part of a broader multi-channel automation, used for confirmation messages, appointment reminders and estimate summaries.

All three use the same sending infrastructure and share the same template library. Set up your sending domain once and it applies across all outbound email from that sub-account.

Step 1: Set up your sending domain

This is the most important setup step and the one most commonly skipped. Without a custom sending domain, your emails send from a shared GHL infrastructure domain. Spam filters treat shared sending domains with suspicion because they are frequently abused by other users on the same infrastructure. Your emails are significantly more likely to land in spam or promotions folders rather than the inbox.

Go to Settings, then Email Services, then Add Sending Domain. Enter the domain you want to use for outbound emails. This can be your main business domain (company.com) or a dedicated sending subdomain (mail.company.com or em.company.com). Using a subdomain is a common practice that protects your main domain's reputation if deliverability issues arise.

GHL will provide you with three to four DNS records to add to your domain registrar: an SPF record, a DKIM record and sometimes a DMARC record and a tracking domain CNAME. Add all of these to your DNS settings. DNS propagation takes 15 minutes to 48 hours. Once propagated, GHL's Email Services page will show the domain as Verified.

Step 2: Build and segment your contact list

Your email list in GHL is not a separate list but your entire contact database. Every contact in GHL can receive email unless they have unsubscribed. The segmentation comes from tags and smart lists.

Tags let you group contacts by any attribute you define: customer type, service interest, lead source, geographic area, engagement level. A contact can have multiple tags. Smart lists are saved searches that dynamically include contacts meeting a set of conditions: all contacts tagged "roofing" who were added in the last 90 days and have not yet booked an appointment, for example.

Before running any campaigns, audit your contact tags. Every contact should have at minimum a source tag (how they came into your system), a type tag (lead, customer, past customer) and a service interest tag. These three tag types let you send relevant campaigns rather than blasting your entire list with the same message.

Step 3: Create your email templates

In GHL, go to Marketing, then Email Templates. GHL includes a library of pre-built templates you can customise, or you can build from scratch using the drag-and-drop email builder.

Create at least three core templates to start. First, a simple plain-text style template for conversational emails. Plain text emails look personal and perform well for follow-up and nurture sequences where you want the email to feel like it came from a real person rather than a marketing system. Second, a branded HTML template with your logo and colours for newsletters and announcements. Third, a short transaction-style template for confirmation and reminder messages.

All templates should include an unsubscribe link, which GHL inserts automatically. Check that your contact information appears in the footer as required by CAN-SPAM regulations.

Step 4: Send a broadcast campaign

Go to Marketing, then Campaigns, then New Campaign. Select Email as the channel. Choose your template or write the email from scratch in the campaign editor. Set your subject line, preview text (the snippet visible in inbox before opening), sender name and sender email address.

Select your recipient segment from your smart lists or tag-based filters. Before sending, use GHL's send test feature to send the email to your own address. Check how it renders in your email client, check that personalisation tokens like first name populate correctly and check that all links work.

Schedule the send for the optimal time for your audience. Most B2B and service business emails perform best sent Tuesday to Thursday between 9am and 11am in the recipient's timezone. Avoid Mondays (inbox overload) and Fridays (pre-weekend disengagement). GHL's scheduling tool lets you set a specific send time or send immediately.

Step 5: Build automated email sequences

Automated email sequences live inside GHL's workflow builder rather than the Campaign section. Build sequences the same way you build any workflow: set a trigger, add email actions and Wait steps between them.

The most valuable automated email sequence for most businesses is the lead nurture sequence covered in our full lead nurture guide. The second most valuable is the post-booking confirmation and reminder sequence: triggered when an appointment is booked, sends a confirmation immediately, a reminder with preparation notes 48 hours before and a same-day reminder 2 hours before.

For email-specific sequences, combine with SMS in the same workflow. SMS gets the first touch because of its higher open rate. Email gets the second touch with more detail than a 160-character SMS can carry. The combination consistently outperforms either channel alone.

Step 6: Improve deliverability

Beyond the sending domain setup in step 1, three practices have the biggest impact on whether your emails reach the inbox. First, list hygiene: remove hard-bounced email addresses after every campaign. GHL marks hard bounces automatically but you need to periodically filter and delete these contacts to prevent them from degrading your sender reputation.

Second, engagement signals: email providers like Gmail and Outlook track whether recipients open and click your emails. A list where 40 percent of recipients never open anything tells email providers that your content is not valued, which pushes future emails toward spam. Segment and suppress contacts who have not opened any email in 90 to 120 days before sending your next campaign. Send a re-engagement email to this segment first. Remove those who still do not engage.

Third, content quality: avoid spam trigger words in subject lines (Free, Guaranteed, Act Now, Limited Time). Keep your image-to-text ratio balanced. Avoid using URL shorteners that mask the destination domain. Test every campaign through a spam checker tool like mail-tester.com before sending to your full list.

Step 7: Track and improve performance

After each campaign, review the performance metrics in GHL's campaign analytics. The key metrics to track are open rate (aim for above 25 percent for service business email), click rate (aim for above 2 to 3 percent), unsubscribe rate (above 0.5 percent per campaign signals a relevance or frequency problem) and bounce rate (above 2 percent signals a list quality issue).

Run A/B tests on subject lines for broadcast campaigns. GHL's campaign builder supports sending two subject line variations to a split of your list and picking the winner automatically after a set time period. Subject line is the single highest-leverage test you can run because it directly determines open rate, which determines everything downstream.

Review automated sequence performance monthly. Check which steps in your nurture sequences have the highest drop-off. High unsubscribes after a specific email usually mean that email feels too promotional or is sent too close to the previous one. Adjust timing or rewrite the message and monitor the change.
